Privacy Policy

Head Hunt Quest is operated by Chaosactive Holdings Pte Ltd (“we”, “us”, “our”), a company registered in Singapore (UEN 201628609W) at 294 River Valley Road, Singapore 238335. This policy explains what personal data we collect when you use headhunt.quest, why we collect it, and the choices you have. We handle personal data in line with Singapore’s Personal Data Protection Act 2012 (PDPA).

The short version

  • We collect what you give us when you apply for a role, plus basic technical information about your visit.
  • We use it to run your application and tell you the outcome — nothing else.
  • We share it with the company hiring for the role you apply to, and with the service providers that help us operate.
  • Evaluation is assisted by automated tools, including AI — and a person reviews the result before any decision.
  • You can ask to see, correct, or delete your data at any time.
  • We never sell your data, and it is always free to apply.

What we collect

When you apply or use the site, we may collect:

  • Application information — your answers to a role’s questions, and any files you choose to upload (for example a short written task, audio, or video).
  • Contact and account details — your email address and the sign-in records needed to keep your account secure.
  • Communications — messages you send us and the emails we send you about your application.
  • Technical and usage data — basic device and browser information, and how you reached the site. If you arrive from an advertisement, this can include campaign identifiers passed in the link (for example UTM tags and advertising identifiers).

We do not ask for — and you should never send us — payment details, government identity numbers, or sensitive information we have not requested.

Why we use it

We use your personal data to:

  • assess your application and run the stages of the hiring process;
  • communicate with you about your application and its outcome;
  • operate, secure, and improve the site;
  • meet legal and regulatory obligations.

We rely on the consent you give when you choose to apply, and on our legitimate interest in running a fair and secure hiring process. You can withdraw consent at any time (see Your choices and rights).

Automated evaluation and AI

To assess applications consistently, we use automated tools — including artificial intelligence — to help score the work you submit. A person reviews the results before any decision is made about your application. Where automated evaluation forms part of a step, we tell you at that step. You can ask us how a decision about you was reached, and you can ask a person to look at it. This processing may involve a trusted third-party AI provider acting only on our instructions (see Who we share it with).

Who we share it with

We share your personal data only with:

  • The hiring company for the role you apply to, so they can review your application and make a hiring decision.
  • Service providers who process data on our behalf and on our instructions — including our hosting and database provider, our email delivery provider, and our AI evaluation provider. They may use your data only to provide their service to us.
  • Advertising measurement — where you arrived from an ad, limited information may be shared with the advertising platform to measure how the ad performed.
  • Legal and safety — where we are required to by law, or to protect our rights, our users, or the public.

We do notsell your personal data, and we do not share it for anyone else’s independent marketing.

Where your data is processed

We are based in Singapore, and some of our service providers process data on servers outside Singapore. Where personal data is transferred out of Singapore, we take steps to ensure it is protected to a standard comparable to the PDPA.

How long we keep it

We keep your application data for as long as we need it to run the hiring process and for a reasonable period afterwards — normally up to 12 months after your last activity with us — after which it is deleted. We keep some records longer only where the law requires it. You can ask us to delete your data sooner at any time.

Your choices and rights

At any time, you can ask us to:

  • access the personal data we hold about you;
  • correct it if it is inaccurate;
  • delete it — withdraw from the process and have your data erased;
  • stop further processing by withdrawing your consent.

To exercise any of these, email hello@headhunt.quest and we will respond within a reasonable time and in line with the PDPA. Withdrawing consent or deleting your data may mean we can no longer continue your application.

Cookies

We use a small number of essential cookies to keep you signed in and to remember how you reached the site — for example, which campaign referred you, so we can measure our advertising. We do not use cookies to build advertising profiles of you.

Security

We protect your data with access controls, encryption in transit, and least-privilege access to the systems that store it. No system is perfectly secure, but we work to keep your data safe and to limit who can see it.

Children

Head Hunt Quest is for people applying for work and is not directed at children. We do not knowingly collect data from anyone under 16.

Changes to this policy

We may update this policy from time to time. When we make a material change, we will update the date at the top of this page and, where appropriate, let you know.
